Vehicle Traffic Light

Overview

Gearbox features a Traffic Light to provide a single overall status for a vehicle.

The traffic light takes into account date, kms and hour based alerts to determine a Green, Orange or Red status for a vehicle.

Red Traffic Light

If any alerts that contribute to the overall vehicle status are red, the traffic light will be set to red.

Orange Traffic Light

If there are not any red alerts but one or more orange alerts, the vehicle traffic light will be set to orange.

Green Traffic Light

If there are no red or orange alerts, the vehicle will have a green traffic light.

Grey Traffic Light (-)

If a vehicle is new to the system or marked as sold, the traffic light will be grey.

The dashboard includes a total count of each of the traffic light colours. Sold vehicles are archived in Gearbox so the traffic light dashboard does not display the grey status.

Clicking on the red, orange or green areas will provide a list of all vehicles with that status.

 

Place the mouse over the traffic light for a summary of the alerts affecting the current colour of the vehicle’s status.

 

At the top of the Vehicle screen, the status and summary of alerts are also displayed.

 

Alerts affecting the Vehicle Traffic Light

Registered Vehicles

The Registered Vehicle status is taken from the registration due date, the vehicle allocation status and if you are in New Zealand, the WOF/COF expiry date.

1)  Vehicle Allocation Status

Out Of Service Planned/Unplanned” will set the traffic light to red.

Parked/Pending” will set the traffic light to orange.

In Service” will set the traffic light to green

Sold” will set the traffic light to grey.

2) Registration / COF/WOF Expiry Dates

If there is no due date OR the due date is about to expire OR the date has expired, the traffic light will be set to red.

If you have non-registered vehicles in Gearbox, you need to tick the box “unregistered” to prevent any of these components from inadvertently setting the status to red.

If the due date is about to expire, the traffic light will be set to orange.

By default, your Gearbox system is set to 30 days warning for red and 14 days warning for orange. These can be adjusted in your settings if required.

Vehicle Reminders

If any vehicle reminders are about to or have expired based on kms, hours or days, Gearbox will set the vehicle’s traffic light to red. If there are no reminders that meet this condition but there are one or more reminders set to expire soon, Gearbox will set the vehicle traffic light to orange.

The parameters to set a reminder red or orange can be adjusted in your vehicle reminder settings if required.

Service Due

Gearbox uses your Service Group settings to calculate if the vehicle traffic light should be set to red or orange by Service Due status across kms, hours and days.

Fault Reports

Gearbox considers a Fault Report as an issue reported from a driver/operator that has not yet been actioned. Often the driver/operator is not a mechanic/fitter and not in the position to be able to diagnose the severity of the fault. Accordingly, Gearbox will set any vehicle with an Open Fault Report to red traffic light.

Open Repairs & Tyres

If a vehicle has any Tyre or Repair work orders open that are flagged “Urgent“, Gearbox will set that vehicles traffic light to red.

If a vehicle has any Tyre or Repair work orders open that are flagged “Important“, Gearbox will set that vehicles traffic light to orange.

Monitored or Deferred Work Orders will not elevate the vehicles traffic light status above green.

Mass Verifications

If you are NHVAS Mass accredited and using Mass Verifications in Gearbox, the system will advise when a Mass Verification is due soon (orange) or due/overdue (red)

The amount of warning required for Mass Verifications can be adjusted in your settings if required.

Inspections

Gearbox will update the traffic light status to red if any Inspections for a vehicle are due or overdue. If there are any inspections due soon, Gearbox will set the vehicle traffic light to orange.

The amount of warning required for Inspections Due can be adjusted in your settings if required. The intervals are set in Inspection Types.

Permits

Gearbox will update the traffic light status to red if any Permits for a vehicle are due or overdue. If there are any permits due soon, Gearbox will set the vehicle traffic light to orange.

The amount of warning required for Permit Expirations can be adjusted in your permit settings if required.
