What are the options?
Vehicles – Create assets and manage their maintenance and repairs.
Services – Create services, reminders on upcoming services, create paper and electronic Jobcards for mechanics and manage servicing costs.
Repairs – Create repairs, create paper and electronic Jobcards for mechanics and manage repair costs
Tyres – Manage tyre repairs, create paper and electronic Jobcards for mechanics and manage tyre costs.
Odometer – Import or enter odometer/hour readings to supplement servicing schedules and Gearbox calculations.
Prestarts – Prestart users can perform daily, weekly, monthly Prestart checks with configurable lists.
Other – Something missing? Add any ‘Other’ type of reminder, cost or anything you want to track.
Integrations – Integrations with Telematics, Allocation, ERP and accounting systems.
NHVAS – Built with accredited NHVAS auditors, compliance can automate and reduce the administration involved with NHVAS requirements.
Load Sheets – Allows Gearbox users to manually enter load sheet information or allow Prestart users to enter this information in realtime.
Books – Manage NHVAS books and pages and track their issuance and expiry.
Inspections – Manage and customise asset inspections, generate paper or electronic Jobcards, custom alerting on expiring inspections and view active/expiring/closed inspections.
Mass – Manage asset mass verifications and enter/track asset weight ratings (both tare and GVM).
Contractors – Manage complaint contractors and their information, monitor non-conformances and manage reminders.
Permits – Manage and customise permits for assets, track their expiry and other vital information all in one place.
NCR’s – Manage NCRs, assign short/long term fixes, manage NCR details and upload evidence of completion/non-completion (documents module required)
Employee – Enter employee details and manage their training, medicals, diaries, assigned equipment, accidents, reminders and NCRs.
Medicals – Manage employee medicals, be alerted on expiring items and report on open and closed medicals for all employees.
Accidents – Record workplace accident details against employees and/or assets.
Equipment – Manage and assign equipment to employee, report on currently issued equipment.
Training – Manage and customise your employees current and expiring training/s, report on open, due and closed training items.
Reminders – Setup alerting on employees to be reminded of other important notfications, e.g. birthdays, annual leave.
Work Diary – Store your employees work diary pages with drag and drop.
Fit For Duty – Track Fit For Duty checkist completed by drivers and operators.
Attach – Enhances Gearbox by enabling the ability to attach documents to specific records e.g. attaching PDF invoice to a repair.
Global Docs – Upload documents to a business-wide repository that can then be downloaded by any user within your system e.g. uploading workshop manuals.
Batch – Batch process documents, upload multiple documents in one easy place.
Multitag – Add user-specified tags to uploaded items to enable quick searching of items.
Hold – Place draft or contested items on hold until further action is required.
Archive – Easily archived old, possibly out-dated but still required items within Gearbox.
Email to Gearbox – Forward emails or scan to email directly to Gearbox.
Parts – Enter any part used in a maintenance item or use this to manage stock across one or multiple sites with simple stock adjustments, transfers and usage reports.
Purchase Orders – Raise purchase orders for new parts and reorder existing parts, you can also order one-off parts with adding to your parts list.
Track Usage – Report on parts usage either business-wide or part, various reports and views enable quick and smart analysis.
Stock Adj. – Simple stock adjustments/transfers can be undertaken to easily update stock levels appropriately.
Stocktake – Manage stocktakes by auditing your available parts then completing simple stock adjustments to reflect appropriate stock levels.
Multi-Site – Manage stock across multiple sites with bulk transfers.
What are the user types?
Gearbox allows you to customise each user’s permission levels; Standard, Manager and Administrator all incur the same cost but have different permissions. Administrators can use all available features of Gearbox while other user types are restricted, read more here.

Read Only Users can view information and run reports throughout the system at no cost. Access can be restricted to each section of Gearbox.
