Admin Snapshot
As Gearbox’s system default Maintenance Dashboard, this dashboard provides an overview and summary of your entire fleet of vehicles and assets. Below will break down each area and widget of the Admin Snapshot dashboard.
Vehicle Groups & SubGroups filter
Gearbox allows you to filter results based on the Vehicle Group and SubGroup options that are selected. If not all assets in Gearbox are being displayed, please check your Vehicle Group and SubGroup selections.

Summary Widget
- Total number of asset
- Total number of Non-Registered assets
- Total number of Registered assets
- Total number of assets with expiring registration
- Yellow = < 30 Days
- Red = < 14 Days
- Vehicle Traffic Light system
- Red Status = Total number of assets with a Red status.
- Orange Status = Total number of assets with an Orange status.
- Green Status = Total number of assets with a Green status.
Summary Widget
Reminders Widget
The Reminders widget will display a counter of the number of vehicle reminders based on three different intervals:
- Kms
- Hours
- Days
As the dates approach the Soon counters will turn yellow, and when due now/overdue the Now counters will be displayed in red.

Expiry Dates Widget
The Expiry Dates widget displays counters for vehicle expiry dates:
- Warranty
- End of Lease
- Disposal dates
As the dates approach the Soon counters will turn yellow, and when due now/overdue the Now counters will be displayed in red.

Services Widget
The Services widget provides an overview of your fleet’s open service work orders, upcoming, and overdue servicing. The widget displays the following:
- Current Open Services
- Assets on Kms service intervals
- Assets on Hours service intervals
- Assets on Days service intervals
As service intervals approach the Soon counters will turn yellow, and when due now/overdue the Now counters will be displayed in red.

Repairs Widget
The Repairs widget provides an overview of your fleet’s repair work orders. The widget displays the following:
- Current Open Repairs work orders
- Current Open Fault Reports
- Number of Monitored Repair work orders
- Number of Important Repair work orders
- Number of Urgent Repair work orders
- Number of Deferred Repair work orders
- Number of Repair work orders opened for at least 7 Days
- Number of Repair work orders opened for at least 14 Days
The Repair widget counters will change colour depending on the status and the number of days the work order has been opened for.
Repairs Widget
Tyres
The Tyres widget provides an overview of your fleet’s tyre work orders. The widget displays the following:
- Current Open Tyre work orders
- Number of Monitored Tyre work orders
- Number of Important Tyre work orders
- Number of Urgent Tyre work orders
- Number of Deferred Tyre work orders
- Number of Tyre work orders opened for at least 7 Days
- Number of Tyre work orders opened for at least 14 Days
The Tyre widget counters will change colour depending on the status and the number of days the work order has been opened for.
